What an AI assistant can do in Fellix
Everything a connected assistant can look up and change in Fellix, the permissions behind each, what your role decides, and how to ask so you get the right result.
Every assistant you connect to Fellix, whether ChatGPT, Claude, Claude Code or Cursor, gets the same set of Fellix tools. What one assistant can do, they all can. This page lists those tools in plain words and explains what decides whether the assistant may use them.
Three things set the limits, and all three apply at once:
- Your role in the organization. The assistant acts as you, so it can never do more than you can in Fellix.
- The permissions you ticked when you connected. An assistant you gave only Read cannot change anything.
- The assistant's own settings. ChatGPT and Claude each decide whether to ask you before they use a tool that sends or changes something.
What it can look up
| Area | What the assistant can do | Permission |
|---|---|---|
| Who it is | Say which organization it is connected to, which person it acts as and with which role | none |
| Clients | Find a client by name, email or phone; read their details and messaging accounts | Clients: Read |
| Conversations | List conversations, newest or most recently active first; read one with its latest messages | Conversations: Read |
| Messages | Read the messages of a conversation, in order | Messages: Read |
| Channels | List your WhatsApp numbers, Instagram, Messenger and website chat | Channels: Read |
| Tags | List your organization's tags | Tags: Read |
| Appointments | List appointments for a day or a date range; read one with its client | Appointments: Read |
| Leads | List leads from ads and forms; read one with its client and conversation | Leads: Read |
| Voice calls | List voice agent calls and read their transcripts | Voice calls: Read |
| Reports | Pipeline, won and lost over time, tags, abandonment, team performance, client intents, website chat, lead summary and trends, client data quality, tag usage, AI usage, WhatsApp calls | Analytics: Read |
| Voice reports | Voice call summary, results per voice agent, voice calls over time | Voice calls: Read |
What it can change
| Area | What the assistant can do | Permission |
|---|---|---|
| Clients | Add a client; change a client's details | Clients: Write |
| Conversations | Start a conversation with a client on a channel; mark one completed; set its language | Conversations: Write |
| Pipeline | Move a conversation to open, won or lost (with the reason), and set how hot the lead is | Conversations: Write |
| Labels | Replace a conversation's tags | Tags: Write |
| Sending | Send a text message into a conversation; send an approved WhatsApp template | Messages: Write |
| Appointments | Book, reschedule, cancel, or record what happened (completed, no-show, confirmed) | Appointments: Write |
| Handling | Take a conversation nobody has claimed; let go of one; hand one to a colleague | Conversations: Write |
A Write permission includes the matching Read. Tags: Write is separate from Conversations: Write: labelling a conversation needs it even if you can edit the conversation.
What your role decides
The assistant sees what you see in Fellix and nothing more:
- Owners and Managers see every conversation. A Team Member sees the conversations on their teams' channels and the ones assigned to them.
- Voice calls and the voice reports are offered only to Owners, as the voice calls page is.
- Handing a conversation to a colleague is for Owners and Managers. Everyone can take a conversation or let one go.
- At connection time, Fellix offers only the permissions your role can use. A permission you cannot use in Fellix is not on the list.
- If your role changes later, the assistant follows the new role on its next request. If you leave the organization or your account is deactivated, the connection ends.
When the assistant tries something your role cannot do, Fellix tells it why, and it passes that on: "Your role in this organization cannot do this in Fellix, so an assistant acting as you cannot either. An owner can change your role."
What it cannot do
- Take payments. No tool charges a card, sends a payment link or takes money.
- Delete things. No tool deletes clients, conversations or messages. A cancelled appointment stays on the calendar's record.
- Change settings. No tool changes organization settings, members, roles, channels, AI agents or billing.
- Use a channel you have not connected. Messages go only through the channels your organization has connected: website chat, WhatsApp, Instagram and Messenger. Without a WhatsApp number, it cannot send a WhatsApp message.
- Reopen a quiet WhatsApp chat with free text. When a client has not written on WhatsApp for more than 24 hours, WhatsApp allows only an approved template. The assistant can send one of your approved templates, not a free message.
Ready-made prompts
Fellix offers three ready-made requests. Assistants that support them show them as commands or in the connector's options:
- Inbox briefing: what moved in the inbox lately and what needs a person, without changing anything.
- Follow up warm leads: open hot and warm leads that have gone quiet, each with a drafted follow-up. Nothing is sent until you approve it.
- Today's appointments: the day's appointments in the organization's time zone, with what still needs confirming.
How to ask
- Name the client and the channel. "Reply to Maria Lopez on WhatsApp" is clearer than "reply to Maria" when she has written on more than one channel.
- Give exact words for anything that is sent. Put the message in quotes. The assistant sends what you wrote.
- Ask for a draft when you are unsure. "Draft, do not send" keeps everything in the chat until you approve.
- Be specific about time. "Tomorrow at 15:00, my time" or "Tuesday 10 November at 10:00 in the shop's time zone." Appointments are kept in the organization's time zone, and the assistant may show times in yours.
- Check who it is first. "Which Fellix organization am I connected to, and as whom?" confirms the organization and the person before you change anything.
- Ask for the report you need. "How did the team do last week, by person?" or "Which lead sources brought won clients this month?" uses the reports, which already count across the period.
